What is the Chart of Accounts (CoA)?

The Chart of Accounts is the basic foundational building block of an organization’s financial system. At face value, it is a categorical numbering and classification system for every single financial transaction that, when designed and used correctly, allows for an almost infinite matrix of customizable information. Beyond the surface, the Chart includes various organizational hierarchies and intelligence that given even more information than is available at pure face value. This matrix is the future of UNT System financial record-keeping and reporting.

What are FoaPs?

FoaPs is the acronym used to help customers remember the 9 fields used within the Chart of Accounts (CoA).

How can I look up my new Chart of Accounts (CoA) values?

With the inception of the changes made to the Chart of Accounts and the upgrade of our financial system from version 9.0 to 9.2, it has been common place to direct users to monitor the “My FoaPs-Department Look up” when attempted to create transactions against their chartstrings.  We’ve learned a lot about these chartstrings as we’ve worked through these months post go-live, and, as such, this look up has become a sort of living document in which chartstrings have been updated, removed, and added as necessary.

Keeping these updates in mind, it has become apparent that the time has come for us to move our focus to a look up that relies solely on 9.2 chartstring information as opposed to the old 9.0 deptID and projID information.  As we continue to grow and utilize the full potential of our system, it is important we all speak the same language and have a clear understanding of the types of funds available to us and how these funds should be properly utilized.

As always, your campus Budget Offices should be your first line of defense when you have any questions on available funds and how to use them, but it is our hope that this new look up report will be a major tool in helping guide and filter the most common questions and issues we’ve seen post go-live.

Category Tool

Please use this Category Tool spreadsheet to help you find the right category depending on what is purchased when filling out a Requisition. The spreadsheet is filter-enabled that allows you to only see the categories that apply to a particular group - all categories that could be used when ordering "Goods," for example. There are also keywords that allow for a search on a single word that can also pinpoint a category - "speaker."
